Form I-9 Student Instructions

Once a student is hired in Workday, they will receive onboarding tasks, including their I-9 to their Workday inbox. All student employees need to complete the Form I-9 online in Workday. Once the Form I-9 has been submitted; students must also present the physical documents to Student Employment Services. Please follow the instructions below:

  1. Complete I-9 Form in Workday – submit all “Onboarding Tasks” in Workday when you are first hired. The Form I-9 is one of these tasks.
  2. Bring your documents to SES for verification - Visit us in Malone 355 to present unexpired original documents (I-9 Acceptable Document List)

This process is required for all student employees, and must be completed within 72 hours of employment.

The form I-9 is used "to verify the identity and employment authorization of individuals hired for employment in the United States. All U.S. employers must properly complete Form I-9 for each individual they hire for employment in the United States. This includes citizens and noncitizens. Both employees and employers (or authorized representatives of the employer) must complete the form." (uscis.gov/i-9)

  • Once a student is hired in Workday, they will receive onboarding tasks, including their I-9 to their Workday inbox. All student employees need to complete the Form I-9 online in Workday. Once the Form I-9 has been submitted; students must also present the physical original documents to Student Employment Services. 

  • You will need to bring your identification documents into the SES office to be verified in person. This is the final and most important step of the I-9 process. All identification documents provided must be the originals in order for them to be valid for your I-9. A copy or photo of a document will not be accepted.

  • The Form I-9 process is required for all student employees, and must be completed within 72 hours of employment. If you do not verify within three days, you run the risk of being terminated, however this can be easily reversed. If you have been terminated, please check in with your supervisor that they are interested in you being reinstated. Once confirmed, you should present your original document(s) to our office, and we will reinstate the position and help you complete any remaining tasks such as the I-9.

  • Not always, reverification is required after three years of your previous verification or when certain documents expire. When you are rehired, you may receive all onboarding tasks in Workday again. You will only need to review for any updates to the information and submit, but would not need to present documents to SES again. If information is found to be incorrect or missing in your I-9 you may be contacted to have the information amended. If you are uncertain if your I-9 documents are still valid call or email SES and we can check for you.
